Know Your Customer (KYC) Policy

Introduction
TTM STAFF LINK LTD is committed to maintaining a secure and compliant business environment. To ensure transparency and compliance with applicable laws and regulations, we require both Contractors (Freelancers) and Customers to complete a Know Your Customer (KYC) process before engaging in any transactions.

Purpose
The KYC policy is designed to:

  • Prevent identity theft, fraud, and other illicit activities.
  • Ensure compliance with anti-money laundering (AML) regulations.
  • Establish the authenticity of Contractors and Customers involved in financial transactions.

1. Applicability

1.1 Contractors (Freelancers):
Individuals providing services through TTM STAFF LINK LTD must complete the KYC process before entering into agreements or receiving payments.

1.2 Customers:
Legal entities or individuals purchasing services via TTM STAFF LINK LTD must undergo KYC verification before engaging in any transactions.

2. Required Documents

2.1 For Contractors (Freelancers):

  • Proof of Identity: A government-issued ID (passport, national ID card, or driver’s license).
  • Proof of Address: A utility bill, bank statement, or official correspondence issued within the last three (3) months showing the Contractor’s name and address.
  • Bank Details: A document proving ownership of the bank account where payments will be received (e.g., a bank statement or confirmation letter from the bank).

2.2 For Customers:

  • For Legal Entities:

    • Certificate of Incorporation or similar document.
    • Proof of business address (e.g., utility bill, bank statement, or lease agreement).
    • Identification of the company’s authorized representative (e.g., passport or ID card).
    • Details of the bank account for transactions.
  • For Individuals:

    • Proof of Identity: A government-issued ID (passport, national ID card, or driver’s license).
    • Proof of Address: A utility bill, bank statement, or official correspondence issued within the last three (3) months.

3. Process

3.1 Submission of Documents:
All required documents must be submitted via email to tt@stafflink.biz or through secure document-sharing platforms as agreed.

3.2 Verification Timeline:

  • The review process will typically be completed within five (5) business days from the submission of all required documents.
  • Any delays caused by incomplete or unclear documentation will be communicated promptly.

3.3 Approval and Updates:

  • Upon successful verification, Contractors and Customers will be notified via email.
  • TTM STAFF LINK LTD reserves the right to request updated documents at any time to ensure ongoing compliance.

4. Payment Policy

4.1 Bank Transfer Only:
All financial transactions, including payments to Contractors and payments received from Customers, will be processed exclusively via bank transfer to verified accounts.

4.2 Bank Account Verification:
TTM STAFF LINK LTD will verify that all payments are made to and from accounts held in the name of the verified Contractor or Customer.

5. Data Protection

5.1 Confidentiality:
All documents and information collected as part of the KYC process will be treated as strictly confidential and stored securely.

5.2 Retention Period:
KYC records will be retained for a period required by applicable laws and regulations. After this period, records will be securely destroyed.

5.3 Sharing of Information:
KYC information will not be shared with third parties unless required by law, regulation, or authorized by the Contractor or Customer.

6. Non-Compliance

6.1 Incomplete KYC:
Failure to complete the KYC process may result in the inability to:

  • Access TTM STAFF LINK LTD services.
  • Receive payments (for Contractors).
  • Process transactions (for Customers).

6.2 Fraudulent Information:
Providing false or misleading information during the KYC process will result in immediate termination of any agreements and may be reported to relevant authorities.
